Draft for attorney review before publication or customer execution. This public Privacy Policy is a universal framework. It does not claim universal compliance, certification, or a particular legal role for every Platform. Items marked [UNIFITECHS TO CONFIRM] require confirmation before final publication.
1. Scope and Privacy Roles
This Privacy Policy applies to UnifiTechs’ public websites, communications, software platforms, applications, APIs, and related services (collectively, the “Services”). UnifiTechs [legal entity name to confirm] (“UnifiTechs,” “we,” “us,” or “our”) operates the Services.
This Policy distinguishes between information we collect directly from website visitors, prospective customers, account holders, and our own business contacts (“UnifiTechs Information”) and information a customer or its users submit to a Platform (“Customer Data”). For Customer Data, UnifiTechs may act as a processor, service provider, or similar provider on behalf of the customer, depending on the applicable law and contract. The customer controls its Customer Data and is responsible for its notices, legal basis, and user instructions.
Some Platforms may be used in specialized industries, such as healthcare, education, towing, hospitality, real estate, studios, business services, or financial and credit operations. A separate data processing addendum, business associate agreement, security addendum, or industry-specific agreement may apply to regulated or sensitive information. That agreement controls if it conflicts with this Policy.
2. Information We Collect
We may collect information directly from you, automatically through the Services, from our customers, and from service providers or integration partners. The information we collect depends on the Service and how it is used.
| Category | Examples | Source |
|---|---|---|
| Contact and account information | Name, business email, phone number, organization, role, account credentials, and support communications. | You, your organization, or an authorized user. |
| Commercial information | Subscription, billing, payment, invoice, transaction, and customer-service information where applicable. | You, Customer, or payment providers. |
| Technical and usage information | IP address, browser, device, operating system, log data, pages or features used, diagnostics, and security events. | Automatically through the Services and service providers. |
| Customer Data | Information uploaded, entered, generated, or connected by a Customer or Authorized User through a Platform. | Customer, Authorized User, or Customer-authorized integrations. |
| Location and integration information | Location, mapping, communications, or third-party integration data, only where a Customer enables a relevant Platform feature. | Customer, Authorized User, or Customer-authorized integration. |
We do not intentionally require a uniform set of data across every Platform. The type of Customer Data processed depends on the Platform, Customer configuration, and industry-specific use.
3. How We Use Information
We may use information to provide and operate the Services; create and administer accounts; authenticate users; deliver support; process payments; communicate about Services; maintain security; prevent fraud, abuse, and unauthorized access; troubleshoot; perform analytics; improve and develop Services; comply with law; and enforce our agreements.
For Customer Data, we process information only as directed by the Customer, as necessary to provide, secure, support, and improve the Services, as permitted by the applicable agreement, and as required by law. We may create and use de-identified or aggregated information where permitted by law and contract.
We may use automated or AI-assisted features to provide a Platform feature where enabled. Such processing is subject to applicable agreements, configurations, and restrictions. Customers are responsible for reviewing outputs and for determining whether an AI-enabled feature is appropriate for their data and use case.
6. Retention and Security
Retention
We retain information for as long as necessary for the purposes described in this Policy, to provide the Services, meet contractual requirements, resolve disputes, maintain security, comply with legal obligations, and enforce agreements. Retention for Customer Data is governed by the applicable Customer agreement, including any export, deletion, backup, and legal-hold provisions. Backup copies may persist for a limited period consistent with backup cycles and security procedures.
Security
We use reasonable administrative, technical, and organizational safeguards designed to protect information. Depending on the Service and applicable agreement, safeguards may include authentication, authorization, access controls, encryption where appropriate, logging, monitoring, backup, recovery, vendor management, and incident-response procedures. No security program can eliminate all risk, and we do not guarantee absolute security.
7. Privacy Rights and Choices
Depending on your location and the nature of the information, applicable law may provide rights to request access, correction, deletion, portability, restriction, objection, withdrawal of consent, or an opt-out of certain processing. These rights are not absolute and may not apply in every circumstance.
To submit a request regarding UnifiTechs Information, contact us at privacy@unifitechs.net or through the website contact form. [UNIFITECHS TO CONFIRM: this mailbox and request-verification process before final publication.] We may verify your identity and authority before responding. If you are an Authorized User seeking a request about Customer Data, contact the Customer that controls the relevant Platform account first; we will assist the Customer as required by applicable law and contract.
You may opt out of non-essential marketing communications by following the unsubscribe instructions in the communication. Operational and service messages may still be sent when necessary for an account or transaction.
8. Children, Student Information, and Other Regulated Data
Our public website is not directed to children, and we do not knowingly collect personal information directly from children through the public website without appropriate authorization. Certain education-oriented Platforms may be used by organizations that process student or child information. In those cases, the educational organization is responsible for obtaining required notices, permissions, and consents, and additional contractual safeguards may apply.
Likewise, some Customer deployments may involve health, financial, credit, employment, location, or other sensitive or regulated information. We do not represent that every Platform is suitable for every regulated use. The applicable Customer agreement and industry addendum determine whether and how a Platform may process such information.
9. International, California, and State Privacy Information
UnifiTechs may process information in the United States and other locations where UnifiTechs, Customers, or service providers operate. When cross-border transfer requirements apply, we will address them through the applicable agreement, safeguards, and legal mechanism appropriate to the processing relationship.
California and other U.S. state privacy laws may provide additional rights and disclosures for certain residents. The applicability of those laws depends on factors such as the entity, data, threshold, processing activity, and relationship involved. This Policy is intended to be updated with jurisdiction-specific disclosures when applicable. [ATTORNEY REVIEW REQUIRED: California and state-specific privacy disclosures, notice at collection, opt-out mechanisms, and data-category requirements.]
10. Changes and Contact Information
We may update this Privacy Policy to reflect changes in our Services, legal requirements, or data practices. When we make material changes, we will provide notice through the website, the Services, email, or another reasonable method. The “Last updated” date indicates when this Policy was most recently revised.
